reclaim ai

What is Reclaim AI?

Reclaim AI is a smart AI scheduling assistant that works with Google Calendar to help you get your time in order. I’ve been using Reclaim AI to manage my crazy schedule, which includes multiple projects, meetings, and my personal life.

Reclaim automatically adjusts my calendar to prioritize tasks, meetings, and habits, so I don’t have to manually reschedule everything.

Key Features

Automatic Task Scheduling

Reclaim AI’s ability to schedule tasks based on priority and deadlines is awesome. I can input my tasks, set their priorities, and let the AI do the scheduling.

For example, when I set a task to “high priority” and I set the priority task up to 8 hours, it splits the time into manageable chunks and schedules it across available slots in my calendar so I meet my deadline without overwhelming my day.

Smart Meeting Scheduling

This feature helps schedule meetings without conflicts. For example, by setting up one-on-one meetings with colleagues, the AI finds the optimal time slots for both parties, avoiding overlaps and respecting both schedules.

Habit Tracking and Scheduling

One of my favorite features is habit tracking. I can schedule recurring activities like lunch breaks, my daily walks, or study periods. This helps me maintain and actually stick to my daily routines.

Flexible Rescheduling

Suppose something urgent comes up, AI adjusts other tasks and meetings to accommodate the change. If an urgent meeting popped up, my scheduled tasks were shifted without me lifting a finger.

Integration with Other Tools

Reclaim AI integrates with other productivity tools like Google Tasks, Todoist, Slack, and Zoom. This way, I can manage everything on one dashboard. For example, connecting my Google Tasks allowed Reclaim AI to pull all my pending tasks and schedule them.

Pros

✅No More Manual Scheduling

Reclaim AI saves me so much time by using AI scheduling algorithms and automating the scheduling process. I no longer have to manually adjust my calendar; I just set the priorities and deadlines and the AI does the rest. This has cut down the time I spend managing my schedule.

✅Focus On What Matters the Most

With Reclaim AI, I can focus on high-priority tasks and finish up other pending works as well. This has resulted in a noticeable increase in my productivity, as I can now dedicate more time to important work without the distraction of constant rescheduling.

✅Integrates With Multiple Platforms

The tool integrates with multiple platforms so I have a single view of all my tasks and meetings. This has streamlined my workflow and I can stay on top of everything.

Cons

❌Works Only With Google Calendar

Reclaim AI only works with Google Calendar for now, which might be a limitation for users who use other calendar services like Outlook. They will add more integrations but for now, this is a drawback for some users.

❌Learning Curve

There is a small learning curve to understanding and using all of Reclaim AI’s features. I found it a bit tricky to set up my tasks and habits at first but once I got the hang of it, it was much easier.

❌Questionable AI accuracy

While the AI is very accurate, there are times when it doesn’t schedule tasks exactly as I would. So I have to manually adjust a few things, although this has happened very rarely.

Pricing

Reclaim AI has a free plan that includes one scheduling link, one smart meeting, three habits, and one calendar sync. The paid plan, starting at $10 per user per month, includes up to 10 users, three scheduling links, and unlimited smart meetings and habits. For more advanced features and integrations, the $15 per user per month plan gives you more flexibility and control.

Verdict

Reclaim AI has automated and intelligently managed my tasks, meetings, and habits for me. Despite the few limitations, it’s a must-have tool for busy professionals and teams. I’d rate Reclaim AI 4.0 out of 5 stars, deducting a point for the limited calendar integration and the learning curve. But overall, the impact on productivity and time management is impressive and worth it, in my opinion.

2. Trevor AI

Trevor AI

What is Trevor's AI?

Trevor AI is a web-based task planning and scheduling tool that uses time blocking to help you plan your day. I tried it out and I loved it!

It’s super easy to use and helps me manage my busy schedule. It integrates with my existing calendar accounts so I can plan my day with clarity.

I used it on desktop and mobile and it was very easy to switch between the two without losing any data or functionality.

Key Features

Intelligent Time Blocking

One of the best features of Trevor AI is intelligent time blocking. This feature suggests the best times to schedule tasks based on your current calendar and task priorities. For example, I had a task to write a blog article and Trevor AI suggested the best time slot for me based on my availability. It saved me time and helped me focus on my work.

Drag-and-drop Scheduling

Drag-and-drop scheduling makes task organization super easy. I could drag a task from my to-do list and drop it into my calendar. It would create a calendar event for that task instantly. It’s a simple yet powerful way to turn to-do items into action plans and made my planning process so much smoother.

Third-Party Integrations

Trevor AI integrates with popular third-party apps like Todoist, Google Calendar, and Outlook. I connected my Google Calendar and Todoist accounts and it synced my tasks and events quite easily. It helped me have all my tasks in one place and I could manage my schedule easily.

Flexible Recurrence Tasks

Setting up recurring tasks in Trevor AI is super flexible. I created a daily task for article writing and a weekly task for SEO research. The flexible recurrence rules allowed me to schedule these tasks individually or set them to repeat at specific times. This was super useful for my daily routines.

Smart Scheduling Queue

The smart scheduling queue orders tasks based on their urgency and importance. When I had multiple tasks to schedule, Trevor AI suggested the best order to do them. This helped me prioritize my work and make sure high-priority and critical tasks were done first.

Pros

✅Seamless Calendar Integration

Trevor AI integrates with multiple calendar accounts and gives you a single view of all your tasks and events. I could manage my personal and work schedule from one place.

✅Time-Saving Scheduling Suggestions

The scheduling suggestions saved me so much time. I no longer had to figure out the best times for tasks; Trevor AI did it for me. This saved me a lot of time in terms of planning.

✅User-Friendly Interface

The interface is clean and easy to use. Even with all the features, I found Trevor AI easy to use. The drag-and-drop and simple design were a joy to work with.

Cons

❌Limited Free Plan

The free plan of Trevor AI is very limited compared to the Pro plan. While it has basic task scheduling and management, many of the advanced features, like multiple calendar integration and personalized AI suggestions, are only available in the Pro plan.

❌You need to learn how to use the tool

While the basic features are easy to use, the advanced features, like flexible recurrence rules and smart scheduling queues, have a bit of a learning curve. It took me some time to figure out and use them properly.

❌Occasional Sync Issues

I experienced occasional sync issues when connecting to third-party apps. Sometimes tasks from my Todoist account wouldn’t sync immediately and it would delay my planning process. This wasn’t a frequent issue but happened a few times.

Pricing

Trevor AI has a free version that includes basic task scheduling and management features. The Pro plan is $3.99/month and includes multiple calendar integrations, personalized AI suggestions, and priority support. There’s also a 7-day free trial for the Pro plan.

Verdict

Overall, I like Trevor AI as a task-planning tool. The intelligent time blocking and calendar integration were a big productivity boost for me. While the free plan is limited and there’s a learning curve for the advanced features, the pros outweigh the cons. If you want to get your life on track and have a good work-life balance with higher productivity, Trevor AI is a good choice for an ai scheduling assistant. I'd rate it a solid 4.5/5.

It integrates with platforms like email and Slack and you can schedule a meeting just by describing what you need.

I personally use this tool because all I have to do is tell Scheduler AI what and when I want the meeting and the tool then takes over from there.

It suggests the best times, sends invites, and handles all the logistics, including video conferencing details. This saves a ton of time and reduces the back-and-forth check-ins.

Key Features

Natural Language Processing

Scheduler AI uses NLP to understand scheduling requests in plain language. For example, if I typed “schedule a meeting with Sofia next week,” Scheduler AI would interpret that and find the best time for both parties.

Real-Time Availability Suggestions

Scheduler AI analyzes your calendar and the calendars of your invitees to suggest the best times. This is super useful for scheduling meetings across different time zones so everyone has a convenient time without the hassle of manual adjustments.

Automated Rescheduling

Life happens and sometimes meetings need to be rescheduled. Scheduler AI handles these changes, proposes new times, and updates all participants.

This was a lifesaver when I had to move several meetings due to unexpected changes, as it saved me from having to find new times manually. All you had to do was simply tell Schedular AI your queries.

Integration with Communication Platforms

Scheduler AI integrates with email, Slack, and other communication tools, so you can schedule meetings directly from your preferred platform. I found this super useful, as I could schedule meetings without having to switch between different apps and maintain my workflow.

Customizable Scheduling Preferences

The tool allows you to set unlimited scheduling preferences based on your needs. Whether it's specific phrases, meeting lengths, or times of the day, Scheduler AI adapts to you. This customization made it feel like a personal assistant, tailoring the scheduling process to my exact needs.

Pros

✅Easy to use

Scheduler AI is easy to set up and use. I was scheduling meetings within minutes of integrating it with my email and Slack.

✅Time-saving automation

The automation of scheduling appointments and rescheduling meetings saved me hours each week. Instead of going back and forth in email to find a time Scheduler AI handled everything and I could focus on other tasks.

✅Better Collaboration

By integrating with other platforms and offering real-time availability, Scheduler AI made collaboration within my sales team better. Meetings were scheduled more efficiently and there were fewer conflicts and overlaps.

Cons

❌Learning curve

While it’s easy to use, there is a bit of a learning curve to use all the advanced features. It took me a few days to fully get the hang of it.

❌Dependence on Integrations

Scheduler AI’s effectiveness is highly dependent on its integrations with other platforms. If an integration fails, it breaks the scheduling process.

❌Limited manual override

Although automation is powerful, I wish I had more manual control over AI-powered scheduling apps and decisions. There were times I wanted to handle specific scheduling stuff myself.

Pricing

Scheduler AI has different pricing plans for different needs: Basic Plan: $50/month for individuals who need basic AI scheduling assistance, Team Plan: $500/month for teams that need advanced team scheduling features like automated scheduling responses and CRM integrations. Professional Plan $1000/month: Custom pricing for large organizations with specific scheduling needs.

Verdict

I’d give Scheduler AI 4.5/5. It’s great at automating the boring parts of scheduling and has some powerful features to boost productivity and collaboration. There’s a bit of a learning curve and some dependence on integrations but the time saved and the process are smooth so it’s a must-have for anyone with a busy schedule.

4. Motion AI

motion ai

What is Motion?

Motion is a task management app that uses AI to create a daily planner that combines your calendar, tasks, and scheduling links. Motion helps update and rearrange your schedule for you based on your progress and changes throughout the day. Perfect for someone who has multiple tasks and meetings to juggle and needs help prioritizing and time management.

Key Features

AI Task Scheduling

Motion uses AI to prioritize tasks, deadlines, and meetings and will adjust your schedule for you. During my testing, I noticed it rescheduled my tasks around unexpected meetings so I still had time to get everything done. This is a lifesaver for busy days when everything just doesn’t go as planned.

Calendar and Task Manager

Motion combines your to-do list and calendar in one place so you don’t have to switch between apps. I loved how I could see all my tasks and appointments in one view.

Project Management

Motion has basic project management features so you can create projects and organize tasks in a Kanban view. This was super helpful when I was working on a big project with multiple sub-tasks. I could see all the tasks at a glance and make sure nothing fell through the cracks.

Customizable Task Parameters

You can set custom parameters for each task, like deadlines and urgency. This helps Motion prioritize your tasks. I found it useful to add context to each task, which helped the AI make better scheduling decisions for me.

Auto Rescheduling

If you miss a task or need to delay it, Motion will find a new time slot for it. I tested this by deliberately delaying a task and Motion found a new spot for it without me having to manually move anything. This makes managing changes so much easier.

Pros

✅Time Saver

It helps you save time by organizing your day for you. I found myself spending less time planning and more time doing the actual work.

✅Reduces Overwhelm

By combining your calendar and to-do list, Motion reduces the feeling of being overwhelmed by showing you a clearer plan for the day. It was nice to see everything laid out and know I had a realistic schedule.

✅Encourages Focus

Motion’s ability to block time for tasks and self-care creates uninterrupted focus time. I noticed I was more productive when I followed the focus times.

Cons

❌Expensive

$34/month for individuals is a bit pricey. May be this is a barrier for those who don’t have a big budget for productivity tools. I found it a bit steep compared to other scheduling tools and apps.

❌Learning Curve

There’s a bit of a learning curve when you first start using Motion, especially when setting up tasks and projects. It took me a while to get used to the interface and settings.

❌Limited Note-Taking

Motion’s note-taking is basic. If you need detailed notes or complex project documentation, you may find this lacking. I had to use a separate app for note-taking, which was a tad bit annoying.

Pricing

Individual plans are $34 per month, billed annually. For teams, it’s $20/month per user and you get more collaborative features. The higher price reflects the premium features and AI but may be a big ask for some users.

Verdict

Motion is a great tool for those who need to manage their time and tasks efficiently. The AI is impressive and will help busy people be more productive. But the cost and learning curve may be a barrier for some. I’d rate Motion 4/5 for the time-saving features and scheduling. It is good for those with a busy schedule and who need advanced task tracking and prioritization.

calendly

What is Calendly?

Calendly is an online appointment scheduling tool that makes booking meetings easy. Whether you’re an individual or part of a big team, Calendly helps you manage your time more efficiently by allowing others to book time with you based on your availability.

I’ve used Calendly for my appointments and it’s been a lifesaver. No more back-and-forth emails to find a time that works. I just share my Calendly link and the other person picks a time that works for both of us. Easy peasy.

Key Features

Customizable Event Types

Calendly has different event types, like one-on-one meetings, group events, and round-robin scheduling.

I found the one-on-one feature super useful for my consulting sessions. I set up a ‘Consultation’ event with details and prerequisites and clients can book through my Calendly link.

Calendar Integrations

Calendly integrates with Google, Outlook, Office 365, and iCloud calendars. So I’m never double-booked.

For example, I connected my Google Calendar and Calendly automatically checks my availability and syncs new bookings, so I don’t have to manage multiple calendars manually.

Buffer Times and Scheduling Limits

To prevent back-to-back meetings and give myself a break, I set buffer times between appointments. I also limit bookings to 30 days in advance so I don’t overcommit. These features help me have a balanced schedule without feeling overwhelmed.

Automated Notifications and Reminders

Calendly sends automated email reminders and follow-ups, which has reduced the number of shows for my meetings. It’s great to have these automated reminders sent to clients so they remember our scheduled meetings without me having to follow up manually.

Embed Options

I embedded my Calendly link on my website so visitors can book consultations directly. I used the embed code to add it to my contact page, so the booking process is more professional and easy to use.

✅Mobile Friendly

Calendly is mobile-friendly so clients can book appointments from any device. I check and manage my schedule on the go using my phone and it’s just as smooth as on desktop.

Cons

❌No Recurring Bookings

Calendly doesn’t have recurring bookings, which can be a big problem if you need to schedule regular repeat appointments.

For example, I couldn’t set up a weekly recurring meeting with a client without manually creating each event.

❌Only One Event Type on the Free Plan

The free plan only allows one event type, which can be limiting.

When I first started using Calendly, I needed to offer different types of consultations and meetings but I could only create one event type until I upgraded to a paid plan.

This can be a pain if you need more flexibility.

❌No Advanced Analytics on Lower Plans

Calendly’s advanced analytics and reporting is only available on higher plans. As someone who uses data to optimize my scheduling process, the lack of detailed insights on the lower plans was a big problem. Without those analytics, I couldn’t track the performance and engagement of my bookings.

Pricing

Calendly has several pricing tiers: Free Forever Plan: Free, includes the essentials for simple scheduling, Standard Plan: $12 per seat per month, includes some automated meeting scheduling reminders. Team Plan: $20 per seat per month, more customization and team functionality. Enterprise Plan: $15K per month, for larger groups with more management features.

Verdict

Calendly is a solid and user-friendly scheduling tool that makes booking appointments easy. The integrations, customization, and automated reminders serve as a huge benefit. However, the limited features of the free plan have drawbacks. I rate Calendly 4/5 for ease of use and value for ai scheduling tools. If you want to simplify your scheduling process and reduce the hassle of meeting coordination, then Calendly is worth a try.

Pricing

Clara has various pricing plans to suit different needs, from $99 per user per month in basic individual plans to more comprehensive plans for businesses. Pricing is available on Clara’s website so users can choose a plan that fits their needs and budget.

Cons

I love that I can switch between day, week, month, and even year views. This flexibility allows me to plan short-term tasks and long-term goals with ease and see all my commitments.

Pros

✅Easy to Use

Google Calendar’s interface is super easy to use. Even if you’re new to digital calendars, the learning curve is minimal and the layout is clean and simple.

✅Real-Time Syncing

Changes to the calendar update in real-time across all devices. This has been super handy, especially when working in a team so everyone is always on the same page.

✅Free

The basic version of Google Calendar is free and has a lot of features. This means it’s available to individuals and small businesses without a financial commitment.

Cons

❌Privacy Concerns

Some users have reported that Google Calendar pulls in birthdays and events from their contacts without explicit consent. This can be annoying and raise data privacy concerns.

❌Interface Overload

With multiple shared calendars, the interface can get cluttered and it’s hard to distinguish between events. More advanced filtering options would help with this.

❌Limited Advanced Features

Google Calendar is great for basic scheduling but lacks some of the of the advanced features found in dedicated project management tools. For more complex scheduling needs, this can be a limitation.

Pricing

Google Calendar is free for individuals. For businesses, it’s included in the Google Workspace plans, which start at $6 per user per month. These plans include more storage, advanced security, and better support.

Verdict

4.5/5 stars. Great tool for basic scheduling and Google services integration. There are some privacy concerns and limited advanced features but they are easy to use and accessible for personal and business use.
