OtterPilot joins Google Meet, or Microsoft Teams, and Zoom meetings automatically to take notes and generate a concise summary of the discussions. You no longer have to sift through the full transcript document—you can simply read the summary to get an overview of the meeting’s takeaways.

Otter goes beyond transcription; it also streamlines follow-ups and content creation. With a simple prompt, you can ask Otter to draft emails, create project status updates, and write blog posts, and it’ll provide you with contextual content instantly. 

For sales teams, OtterPilot for Sales takes automation even further. It handles administrative tasks like writing meeting notes and extracting key sales insights, and seamlessly adds them to Salesforce and HubSpot. It also generates follow-up emails after prospect calls, so sales reps can focus on closing deals instead of getting bogged down in manual tasks.

Otter AI is useful to eliminate manual note-taking during meetings, extracting insights from conversations, and generating action items based on meeting discussions. 

But the issue is, you can’t blindly trust its summaries—they aren’t accurate all the time. And for crucial discussions, you can’t afford to have wrong or poorly drafted summaries. You’ll have to spend a lot of time on manually editing the transcript document, otherwise it can create misunderstandings among stakeholders.

Otter AI Interface: Is It Easy to Use? 

When I reviewed Otter AI’s platform, I was impressed by its clean, intuitive, and well-designed interface. I didn’t face any issues with recording meetings and generating summaries. Whether I was starting a new recording, reviewing past transcripts, or sharing notes with my team, I could easily navigate the features. 

However, I did need to look up the FAQs for advanced features like extracting sales insights and sales rep coaching. They’re not too difficult to grasp, but there’s a slight learning curve. 

While going through user reviews, I didn’t find many complaints about Otter’s UI. Rather I found out that the team takes feedback seriously. For example, one G2 user said they didn’t like the web interface initially because it was slower than the mobile app. But after giving feedback, they noticed improvements. However, they still prefer using the mobile app over the web version.

Overall, I believe Otter AI finds the right balance between aesthetics and functionality. The platform is designed to keep users focused on the conversation, not the tool—and it succeeds.

Popular security review websites such as UpGuard have described Otter as a safe and secure tool, giving it a score of 822/950 and an A rating.

Otter AI is committed to privacy and security and follows best practices that align with global regulatory standards. The platform has achieved a SOC 2 Type 2 report, showcasing compliance with stringent security requirements.

Key security and privacy features include:

  • Regulatory Compliance: Otter AI incorporates GDPR and CCPA standards into its data practices, ensuring responsible data management
  • Data Deletion: Deleted conversations are moved to the Trash and automatically removed after 30 days. If you manually clear the Trash, conversations are permanently deleted immediately.
  • Two-Factor Authentication: Available across all Otter AI plans, TFA adds an extra layer of security for user accounts.

The Enterprise plan offers SSO and advanced security and compliance controls for organizations. 

The tool doesn’t have any glaring security red flags, but I found some isolated complaints about OtterPilot automatically joining meetings even when the user doesn’t want it. To avoid such mishaps, you have to head over to Account Settings>Meetings, and toggle off Auto-join all meetings.

The tool is not EU-hosted, but it does abide by strict safety protocols to keep user data safe.

For example, Notta extends its video conferencing support to Webex, while Fireflies goes even further, adding Skype, DialPad, GoToMeeting, and Lifesize.

In CRM integrations, Notta expands beyond Salesforce and HubSpot with Pipedrive, Freshsales, Salesflare, Zendesk Sell, and Zoho CRM, whereas Fireflies offers the most extensive CRM support, including MS Dynamics 365, Attio, Close, and Copper.

Compared to Notta and Fireflies, Otter has a slightly more focused integration set. If your workflow is centered around mainstream CRM platforms, Otter is a good option. But if you’re looking for extensive integrations with both popular and niche tools, Otter competitors have an upper hand.

Otter offers tiered customer support depending on which plan you’re on. There is standard email support for Basic and Pro plans, while Business and Enterprise users get prioritized support.

You might not need assistance frequently, but the customer support is slow to respond.

“I wish I could comment on their customer support but their FAQs more than take care of anything I needed to know.” 

Despite the positive reviews, I can’t help but notice how frequently users have brought up the issue of slow customer support.

Otter’s knowledge base is packed with FAQs, which is great if you like solving problems yourself. But when you actually get stuck in the middle of a task? Be prepared to wait. A solid help center is no excuse for slow response times, and Otter falls short here. Until they step up their customer service, I can’t rate it higher than a 6/10.

Otter AI operates on a freemium model. The Basic tier is available for free, which offers AI meeting record, transcription, and summary, and 300 monthly transcription minutes with a limit of 30 minutes per conversation. You can import and transcribe 3 audio or video files lifetime per use. 

The paid plans are: 

  • Pro: $16.99/user per month. You get 1200 monthly transcription minutes with 90 minutes per conversation 
  • Business: $30/user per month. It makes you eligible for 6000 monthly transcription minutes with 4 hours per conversation. You can access a shared custom vocabulary, tag speakers, and assign action items to teammates
  • Enterprise: Custom pricing. This plan offers company-wide deployment, video replay, along with advanced security and compliance control

According to third-party data from Vendor, the software can cost up to $35,000 on the higher end, while the average annual price is approximately $17,424 (based on 16 deals the site has handled for Otter).

You give it access to your calendar and then they log in to anything with a meeting link to listen in and “take notes.” After the meeting, it emails the notes to everyone at the meeting (everyone whose email was included in the invite).
That’s all fine and good, except that to see the notes, you have to sign up for an account. The account signup process heavily pushes users to sign in with their Microsoft or Google credentials, provide access to calendars and contacts, and regulate to attend all meetings with a link.
